Position Summary

The Coordinator is responsible for organizing and coordinating department operations and procedures in order to ensure organizational effectiveness and efficiency. This includes follow up with all stakeholders/Business Units with regard to service requested forms and procedural submissions and approvals, maintain office services and efficiency and supervise office administration staff.

Primary Responsibility

  • To coordinate, monitor and follow up with all stakeholders and Business units that the required forms are used and correct procedures are followed when a request for service is submitted.
  • To assist design and implement policies by establishing standards and procedures as directed by senior management; measuring results against standards; making necessary adjustments. 
  • Keep Management informed by reviewing and preparing regular reports; summarizing information; identifying issues that required Management’s attention.
  • If required, attend meetings and prepare minutes of meetings.
  • Help supervise the administration staff and maintain day to day smooth operation of the office
  • Contribute to team effort by accomplishing related results as needed.                                                                                             
  • To assist in coordination and monitoring of Contractors’ progress of D&D projects regarding all project submissions                                                                
  • Set up NEW USER account, RENEW user account & ADD user account to project phase. 
  • Grant Full Access, Basic Access or Guest Access to D&D TM, Galaxy TM & Awarded vendors
  • Assist the new vendors for Aconex account registration and provide Aconex training when necessary.

Requirements

  • A recognized University degree/high diploma with relevant qualifications and experience 
  • Good personal skills and able to communicate effectively and work with internal departments, stakeholders and with analytical and problem-solving skills
  • Demonstrate sound work ethics
  • Proficient with Aconex, MS Office software skills including the spreadsheet and word processing programs
