Position Summary

The Secretary plays a vital role in supporting the Customer Loyalty department by delivering comprehensive administrative and operational assistance. This position ensures seamless coordination of departmental activities, facilitates budget and project tracking, and contributes to the execution of key initiatives. Success in this role requires a high level of discretion, exceptional organizational skills, and a proactive mindset to manage both routine tasks and strategic priorities effectively.

Primary Responsibility

- Provide comprehensive day-to-day secretarial and administrative support to the Customer Loyalty team.
- Coordinate and manage meeting schedules, conference arrangements, event calendars, and travel logistics.
- Prepare meeting agendas, document minutes, and ensure timely follow-up on action items.
- Support project and event coordination, including logistics planning, vendor communication, and internal approval processes.
- Monitor project timelines and deliverables to ensure timely and successful execution.
- Assist in annual budget planning and forecasting of departmental budgets and revenue targets.
- Collaborate with the Finance team on monthly P&L reviews and expense reconciliation.
- Track departmental expenditures to ensure alignment with approved budgets.
- Coordinate with Procurement for the ordering and delivery of supplies and materials.
- Maintain inventory levels and ensure the timely availability of necessary resources.
- Compile and organize information for team presentations, tracking progress against action plans and timelines.

Requirements

- Bachelor’s degree or above, preferably in Business, Marketing, or a related discipline.
- 3–5 years of relevant experience in office administration, marketing coordination, or customer service.
- Excellent communication skills in English, Cantonese, and Mandarin.
- Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Prior experience in budget tracking, event planning, and data analysis is highly desirable.
- Strong attention to detail, exceptional organizational abilities, and a commitment to handling confidential information with discretion.
