Position Summary

Responsible for providing the Environmental Services Department with all administrative support across a range of administrative, secretarial duties and should always display the highest level of professionalism, customer service and administrative support to both internal and external customers. 

Primary Responsibility

  • Provide high-quality administrative support to the Environmental Services Department, ensuring professional office operations and strict confidentiality of sensitive information
  • Perform general administrative duties, including meeting coordination, minute-taking, and document/memo translation as required
  • Liaise with managers to prepare and distribute staff rosters, staff allocation reports, and maintain accurate personnel records, including leave balance, payroll, and remuneration matters
  • Coordinate departmental training with the Training Department and external providers, and maintain accurate training records
  • Prepare and process purchase orders in consultation with operational managers; maintain asset registers and monitor maintenance costs
  • Monitor operational and CAPEX budgets and provide timely reporting
  • Manage stationery ordering and inventory control
  • Ensure compliance with all established policies and procedures
  • Support departmental projects, including training workshops and team-building activities, and coordinate closely with supporting departments to deliver effective internal and external customer services
  • Maintain flexibility to undertake other reasonable duties as assigned

Requirements

  • Minimum of one year’s advanced experience in an administrative role
  • University degree in a related discipline (e.g. Business, Finance, or equivalent)
  • Proficient in Microsoft Office applications
  • Excellent written and verbal communication skills in English and Cantonese
  • Ability to work independently with minimal supervision
  • Demonstrates strong communication and interpersonal skills
  • Proactive and shows initiative in handling routine matters
  • Strong organizational and administrative skills
  • High level of attention to detail
  • Willingness to adopt and implement new approaches and practices to meet changing business needs
